When the term ends

When your copier lease is ending: a guide for Gold Coast offices

There are four usual ways a copier agreement can end. The right one for your business turns on what the agreement actually says and how much work the machine still does each month. Send it through and we will go over your choices with you.

  • The notice date comes first
  • Four ways to finish
  • We read it with you
  • No obligation either way

Start by finding the notice date

A lot of copier agreements ask for notice in writing well before the finish, sometimes a few months before. Miss it, and the payments can keep going exactly as they were. The clause you want usually sits under a heading about the term, renewal or notice. Once you find it, mark the date in your calendar.

If the wording is hard going, upload the agreement below and we will point you to the right clause.

The months before a lease ends are when you have the most choice.

Four ways your agreement can finish

  • Give it back and upgrade. A newer machine arrives on a fresh agreement as the old one leaves. Quite often the payment ends up about the same or less, for a more up to date machine.
  • Carry on with it. Where the machine still copes with the work, certain agreements allow a reduced payment or a buyout. Whether yours does comes down to its end terms.
  • Drop to a secondhand grade. If the office prints less than it did, a renewed or refurbished copier on rental may lower what you pay each month without any loss in print quality.
  • Own the next one. If buying suits you better this time, you will get a cash price for the new machine alongside its rental figure.

A second look

Not sure what you signed?

Whether it is a lease, a rental, a managed print agreement or a quote that has just landed on your desk, upload it and we will go through it with you. You will know what each page costs, whether a monthly minimum applies, when it finishes, the notice it needs, and the cost of changing.

There is no obligation, and phone photos of the pages are fine.

Getting a better agreement next time

  • A term sized to how long the machine will truly be in use.
  • Page rates that line up with what the meters say.
  • Any minimum charge set at or below what you genuinely print.
  • End terms spelled out in the agreement, so the decision next time is straightforward.
  • Cover that replaces a failed machine for the full term: our replacement warranty does that for every machine on our service agreement.

Planning the swap around your end date

The new machine is booked to arrive as the old one goes, so you are not paying for two at once for longer than necessary. Most machines can be in and running within about a week of signing, which means a month's warning gives everyone room. If the model you choose is new and has to be ordered, it can take longer, and we will say so before you sign.

For an office in one of the towers at Surfers Paradise, Southport or Broadbeach, we work with the building manager to book a loading bay and lift time that suits.

Replacement warranty

A machine that fails is replaced. Through to the final month.

Any machine we look after on a service agreement comes under our replacement warranty, whatever its age and however you paid for it. Rented, leased, financed or bought outright, new or secondhand: if it fails, we replace it. Cover runs for the whole term of the agreement, through to its final month.

The maker's warranty on a new copier normally lasts 12 months and takes in the hardware; consumables are not part of it. Past that first year, your protection comes from the service agreement. Every detail of the replacement warranty is set down in your agreement.

Asked often

Copier leases coming to an end: what people ask

When should I give notice on a copier agreement?

Whenever your agreement says, and for many that means in writing a few months before the finish. If you upload it, we will find the clause and tell you the date to work to.

Is keeping the copier at the end of the lease an option?

In some cases. A few agreements offer a buyout or a reduced payment at the finish, others insist the machine goes back, and the type of agreement decides which. We are happy to read yours and explain.

What if the end date slips past?

Often the agreement just continues, full payment and all, until someone gives notice. Paying on like that for months is one of the costliest ways a lease can end, so the date is worth guarding.

Could I end up paying for two copiers at once?

Only briefly, if at all. The new machine is timed to arrive as close to your end date as we can manage.

Is rental the only way to pay for the next one?

No. Rental is the way most customers pay, starting from $15 a week plus GST, though we can arrange a lease or other finance instead, and any machine can be bought outright.

Our copier is out of contract and still sitting in the office. What should we do?

Work out whose it is before anything else. Under plenty of agreements the copier belongs to the finance company, which will want it returned. If it is yours, run it for as long as it earns its place, or trade it in against a newer model. Send the agreement through and we will help you check.
