Paying for your copier

Lease or buy a copier? How Gold Coast businesses pay for one

An office copier can be paid for in five different ways, and the right one depends on how your business runs. You can pay the full price up front, rent, lease, take other finance, or pay for each page you print. Each option is set out below with the kind of business it tends to suit. Copier rental starts from $15 a week plus GST.

  • Five options side by side
  • Most customers choose rental
  • Lease or finance if preferred
  • Every figure set out in writing

Replacement warranty

A machine that fails is replaced. Through to the final month.

Any machine we look after on a service agreement comes under our replacement warranty, whatever its age and however you paid for it. Rented, leased, financed or bought outright, new or secondhand: if it fails, we replace it. Cover runs for the whole term of the agreement, through to its final month.

The maker's warranty on a new copier normally lasts 12 months and takes in the hardware; consumables are not part of it. Past that first year, your protection comes from the service agreement. Every detail of the replacement warranty is set down in your agreement.

The way most Coast businesses pay

Whether you run a real estate office in Southport or a clinic in Robina, rental is the way most of our customers pay. It is one regular payment, the servicing is part of the arrangement, and there is no large sum to find at the start. When the term is over you can move up to a newer machine or hand this one back. Rental works the same way for new, renewed and refurbished machines.

Buying outright suits a business that has the money set aside and plans to keep the machine for a long time, because over many years it usually works out lowest in total. If your accountant would rather you took a lease or another kind of finance, that can be arranged instead.

How you pay matters as much as which machine you choose.

Lease or buy: three questions to ask yourself

Before you choose, it helps to answer three things honestly. Is there money you would rather keep in the business than spend on a copier today? Will you want something newer in three to five years? Would you like the servicing looked after inside the same arrangement? If the answer to all three is yes, rental or a lease will fit. If it is no each time, buying outright probably makes more sense.

Each way of paying is treated differently for tax, so it is worth a word with your accountant about your own situation. Everything here is general information and should not be taken as financial advice.

The finance words, in plain English

Finance lease: the finance company owns the machine while you pay for it. When the term finishes you might give it back, extend, or settle a residual amount and keep it. Operating lease: you have the use of the machine for an agreed period, and then it is returned. Chattel mortgage: the machine belongs to you from the first day, and you repay a loan that is secured against it.

The monthly agreements we put in front of customers are rentals, and you will see every clause in yours before you put pen to paper. What to look for in any copier agreement.

Asked often

Paying for an office copier: what owners ask

For a small business, is leasing or buying a copier better?

If you can pay for it now and expect to keep the machine a long while, buying usually costs less overall. If you would rather keep cash in the business, have the servicing in the same payment and move to a newer machine later, rental or a lease is the easier road.

Can I rent to own a copier?

Rent to own normally means monthly payments that end with the machine being yours. Our rentals finish another way: you move up to a newer model or give the machine back. Hoping to hold on to it at the end? Ask us about it.

Is there a way to pay only for the pages we print?

There is, and it is called a managed print agreement. Our managed print services page explains how it works for a Coast business.
